Minutes

Presentation of participants and expression of interest
Genevieve: NGI-FR uses a tool to collect publications developed by CNRS. Currently it lists over 700 publications since 2001, tagged with keywords and discriminated by publication type (peer reviewed, abstract, etc). They collect publications covering every angle of grid research, from the science results to middleware and other technical problems.
Torsten & Wilhelm: Stressed the importance of collecting publication information to support funding applications. D-Grid is moving from project based funding to structural based funding from ministry, need to show added value. The offered the example of BWGrid (DE regional grid): they collect publications from their users in a very efficient way (300 pubs so far).
Sara: mentioned the example of BigGrid (NL). They have a good publication list.
Vicky: interested in exchanging best practices about how to collect publications; asked clarifications about the scope of publications (e.g., if also iSGTW articles can be considered); clarified that we focus on scientific publications
Burcu (sent after the meeting via email): NGI_TR has been collecting the scientific publications regarding the declaration of our users directly. NGI_TR users can inform us about their published studies by using the submission link: http://www.truba.gov.tr/basariolcutleri/yayinlar/yeniyayin/index.php?cwid=2&type=Makale acknowledgment declaration of our users. Web of Science repository is also used by NGI_TR in every 6 months using advanced search tool with specific keywords related NGI_TR : http://apps.webofknowledge.com/WOS_AdvancedSearch_input.do?product=WOS&SID=R1oCacOjfm3geD1CdN7&search_mode=AdvancedSearch. The related Web of Science search is also elaborated considering the authors of the papers who are NGI_TR users and their accounting information that we have. Discuss the work plan
We identify 5 areas of work:
  1. Collecting best practices
    a. This activity is devoted to collect information on best practices on processes and tools to collect scientific publications; it will be based on a questionnaire that we’ll develop to function as a template;
    b. A template was defined: VT_Scientific_Publications_Repository_Best_Practices
  2. Policy
    a. This activity is devoted to define what policies need to be created and enforced to create obligations to provide the information
    b. Define a process for tracking scientific publications that are based on EGI (From NGIs and from VOs)
  3. Schema
    a. Define the information that needs to be tracked in order to identify the publications
  4. Tool
    a. This activity is devoted to identify the requirements and possible tool
    i. Analyse existing tools and processes (e.g. EGI Metric Portal, OpenAire project and the EGI Compendium)
    ii. Analyse the technical functionalities needed by a tool to collect scientific publications
  5. Communication plan
    a. This activity is devoted to define how to outreach the community to inform about the new process and the importance of contributing; it can be coupled with an engagement plan
