How to Open a New Policy Group

In order to request the opening of a new policy group, the potential group initiator/chair needs to prepare an email with the following content:

  1. Name of the group
  2. Attachment with complete ToR draft of a new group (ToR template)
  3. Reasons and argumentation for opening the group

The email should be sent to policy@egi.eu.

The Strategy and Policy team will verify that all the required information is present, then it will forward the email to the EGI.eu Director to request the approval by the EGI.eu Executive Board.

Upon approval, the interim group chair will be notified and group will be considered 'officially opened'. The Strategy and Policy team together with the group chair will ensure that both the group-related pages will be opened and established accordingly (main website, Indico category and wiki).

How to Close an Existing Policy Group

In order to request the closing of an existing policy group, the group chair needs to prepare an email with the following content:

  1. name of the group
  2. link to the main wiki page
  3. last day of operation for the group
  4. number of meetings hold by the group
  5. main achievements (a paragraph or two)
  6. reasons and argumentation for closing the group

The email should be sent to policy@egi.eu (and copy to the group mailing list).

The Strategy and Policy team will verify that all the required information is present, then it will forward the email to the EGI.eu Director to request the approval by the EGI.eu Executive Board.
Upon approval, the group chair will be notified and group will be considered 'officially closed'.
The policy team together with the group chair will ensure that both the group-related pages will be updated accordingly (main website and wiki) and that the related Indico category is marked closed
